Iron Mountain is one of the largest and most trusted record management companies in the world. Their facilities store and preserve important documents for businesses, institutions, and government bodies. They also handle large-scale archival digitization, where old physical files are scanned and converted into searchable digital records.

Our role was to create a simple, straightforward visual walkthrough of how their archival and judiciary documentation services work. The project included two videos one focusing on digital conversion and one on physical storage operations. The idea was to give viewers a clear understanding of how documents move through Iron Mountain’s system, from physical storage to digital directories, while following all their strict security rules.

Shooting inside Iron Mountain was not like working in a normal factory. The facility has very high security, and almost everything inside is governed by strict rules. We had limited camera access and every camera had to be covered with security stickers. This meant we had to plan each shot in advance because we couldn’t freely explore or adjust things on the spot.

Another challenge was scripting their processes are technical and sensitive, so we had to explain the workflow without revealing anything confidential. At the same time, the script had to be simple enough for any viewer to understand how documents are archived, stored, or digitized. Balancing accuracy, clarity, and security took careful coordination with their team.

Inhouse Digital team approached the project with a very practical plan, a small crew with only approved equipment entered the facility, which made it easier to move around and follow their security rules. We coordinated closely with their team to understand what we could film and how to present it. The scripting team worked closely with Iron Mountain’s internal communications unit to maintain both factual accuracy and brand tone. During editing, we worked in fast cycles so the Iron Mountain team could review and approve quickly, helping deliver the film within the 7-day deadline.

The final output included two videos, one covered the archival digitization workflow from handling the physical documents to scanning and converting them into digital directories. The second video highlighted how records are stored securely in their facilities. Despite the restrictions, we were able to show real operations and give viewers a clear sense of how Iron Mountain manages such large volumes of information every day. Both videos were delivered on time and aligned well with the company’s communication standards.
